Terms of Service
Last updated: 24 October 2026
These terms explain how you may use Estimay. Please read them; by creating or joining a room, or by adding Estimay to an app or connecting a room to one, you agree to them.
1. Who we are
Estimay ("we", "us") is an online service provided by a sole proprietorship registered in Poland, whose name, address and registration numbers are at the end of these terms. You can reach us at [email protected].
2. The service
Estimay is an online planning poker tool. It lets you create rooms, invite others with a link, add or import stories, vote with cards (or watch as a spectator), reveal the votes together, save estimates and send emoji reactions. There are no accounts: you take part under a display name you choose, or the one a chat app you use Estimay in gives us.
Estimay can also run inside chat and video apps (such as Slack, Discord, Telegram and Google Meet), and a room can be connected to an issue tracker (such as Jira, Trello, Linear or Asana) to import stories and write estimates back. These integrations follow our Integrations Policy, which is part of these terms.
3. Price and paid features
The features Estimay offers today, every integration included, are free to use. You don't need an account or a payment card to use them. Estimay is paid for by the ads it shows (section 4).
We may introduce paid features later. If we do, we'll say so on the site before anything changes for you, and you'll see a feature's price and terms before you pay for it.
4. Advertising
Estimay shows ads provided by Google AdSense on its public pages, such as the home page, the guides, the FAQ and the blog. Rooms, the page where you create one, forms and our legal pages show no ads, and neither does Estimay inside a chat or video app. The ads are chosen by Google, not by us; showing an ad doesn't mean we recommend the product or the advertiser. If you follow an ad to another website, that website's own terms and privacy policy apply. Whether ads are personalised depends on your consent, as described in our Privacy Policy and Cookie Policy. Refusing consent doesn't limit how you can use Estimay.
5. What you need
A device with an internet connection and a current version of a modern browser (such as Chrome, Edge, Firefox or Safari) with JavaScript and cookies enabled. Estimay needs only its own strictly necessary cookie; advertising cookies are optional. To use an integration, you also need access to that app, under its own terms.
6. Using Estimay for your organisation
Most people use Estimay for work. If you use it for an organisation, for example by running your team's planning or connecting your company's Jira, you confirm that you're allowed to do so on its behalf, and these terms apply to that use. There is no organisation account, admin console or separate contract: each room is run by its host, and the host and facilitators decide what goes into it. If your organisation needs its own agreement, a data processing agreement or a security review before using a tool, check that Estimay suits it before you put its data in a room; you can write to us with questions.
7. Confidential project data
You may enter confidential project information in a room and import private issues from a connected tracker, as long as you are allowed to: your organisation's policies permit it, and everyone you invite may see it. Anyone with a room's invitation link (and password, if set) sees all of its stories, including imported titles and links, without needing an account in the tracker. Section 3 of the Integrations Policy sets out the details.
We treat room content as confidential. We use it only to run the room, look at it only when you ask us to, when we handle a report of illegal content (section 11) or when the law requires it, and never use it for advertising, sell it or use it to train AI models. It is deleted as our Privacy Policy describes.
Estimay isn't meant for sensitive personal data (such as health data), passwords, keys or other secrets, or data that the law or a contract requires to be kept only in certified systems. Don't put such data in a room.
8. Starting and stopping
Our agreement starts when you create or join a room, add Estimay to an app or connect a room to one, and it lasts as long as you use Estimay. You can stop at any time simply by leaving; there is nothing to cancel. A room's data is deleted when the host ends the room ("End and delete room"), or 7 days after the room was last used (30 days for an async room), as described in the Privacy Policy. A tracker can be disconnected from a room at any time, and a chat app removed from your workspace. We may suspend or end your access if you break these terms. We may also discontinue Estimay; if we do, we'll announce it on the site in advance where we can.
9. Acceptable use
You agree not to:
- post unlawful content, or content that harasses, threatens or discriminates against others, including by flooding people with reactions;
- put sensitive personal data, passwords, keys or other secrets in room names or stories, or import or enter data you aren't allowed to use (section 7);
- connect an account or workspace you aren't allowed to use, or use an integration in a way its provider's terms or your organisation's policies forbid;
- try to break, overload or bypass the security of Estimay, including guessing room codes or passwords;
- use bots, scrapers or other automated means to access Estimay;
- click ads, or load pages to generate ad views, by automated means or for any reason other than genuine interest, or encourage others to do so;
- impersonate others or use Estimay to send spam or malware.
10. Your content
You keep all rights to what you enter in Estimay or import into it. You allow us to store it, show it to the other participants of the room and, for a room connected to a tracker, write its estimates back to that tracker, only so that we can run the service. You're responsible for what you enter and import. The host decides who receives the room's invitation link, can remove participants from the room, and can hand the room to another participant.
11. Reporting illegal content
If you see content on Estimay that you believe is illegal, email [email protected] with the room code, a description of the content and why you believe it is illegal. We'll review reports promptly and may remove the content or end the room. You can write to us in English or Polish.
This address is also our single point of contact for users and for authorities under the EU Digital Services Act (Art. 11 and 12). Complaints about an ad's content can also be reported to Google through the "Why this ad?" or ⓘ icon on the ad.
12. Third-party services
The apps Estimay runs inside or connects to are run by other companies, under their own terms and privacy policies, which apply to your use of them. We don't control them and aren't responsible for them, including for what they do with data you or Estimay send them. An integration may stop working when its provider changes its service or terms, and we may change or remove an integration, as the Integrations Policy describes. What Estimay writes into a connected app (such as estimate comments or Slack cards) stays there after the room ends, and you can delete it there.
13. Availability and changes
We work to keep Estimay running smoothly but can't guarantee it will always be available or error-free. We may improve, change or remove features, for example to keep the service secure. Estimay keeps no history and no backups: don't rely on it as the only place you keep your estimates. Download a room's stories as CSV, or let a connected tracker keep them.
14. Liability
Estimay is provided "as is". To the extent the law allows, we're not liable for indirect losses, lost profits, lost data or decisions you make based on estimates, for third-party services you use Estimay in or connect to it, or for the content of ads and the websites they lead to. Nothing in these terms limits liability that cannot be limited by law, including for damage caused intentionally, or your statutory rights as a consumer.
15. Problems and feedback
If something doesn't work as it should, email [email protected] with a description of the problem and, if relevant, the room code. We'll do our best to respond within 14 days.
16. Intellectual property
The Estimay name, logo, design and software belong to us. You may use Estimay as described in these terms, but you may not copy, modify or redistribute the service itself.
17. Changes to these terms
We may update these terms, for example when we add features or integrations, or the law changes. We'll publish the new version here, update the date at the top, and point out significant changes on the site. Changes apply from the moment they are published. If you don't agree with them, stop using Estimay.
18. Governing law and disputes
These terms are governed by Polish law. This doesn't take away the protection of mandatory laws of the country where you live. Disputes are resolved by the courts that have jurisdiction under the law.
